Job Summary

The competition will be held for similar current and future Assistant positions at the Embassy of Canada in Berlin. Under the general supervision of the Canadian Defense Attaché (CDA) the Program Assistant is accountable for the provision of administrative support services of the Canadian Defense Attaché office (CDAO) and the coordination of requests from other government departments to the CDAO.



Roles and Responsibilities:

Researches, compiles, inputs and maintains data in departmental electronic systems; responds to departmental requests from client network and in support of operations. Collects, scans, reviews and uploads received documentation into departmental systems. Prepares and submits forms of different formats to various multiple recipients to meet implied deadlines. Drafts in English and/or German and sends written correspondence to clients and contacts.

 

Coordinates meetings, events, schedules and assists with meeting requirements such as venue, lodging and transportation. Composes and generates correspondence related to calls, visits, meetings or events.

Contributes to the development and supports the

implementation of new or improved systems, processes and procedures in accordance with the needs and priorities of the department and the mission.

Essential qualifications

Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:

• School leaving exam (Abitur or equivalent) and a minimum of three years full-time work experience in an office environment; or,
• University degree and a minimum of 4 months full-time work experience in an office environment

Language:

• Professional level in English (written and oral)
• Professional level in German (written and oral)

Experience:

Work experience in an office environment to include the following activities:
• Working experience with databases or similar software; with SAP or other Enterprise Management Software,
• Using various word processing, data management and email software systems (systems such as Microsoft Suite); and,
• Providing advice and guidance to clients.

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Language:
